POP3 (Post Office Protocol version 3) is a protocol used to retrieve email from a mail server. Here's a brief overview of how it works:

How POP3 works:

  1. A user's email client (e.g., Microsoft Outlook, Mozilla Thunderbird) connects to a POP3 server using a username and password.
  2. The POP3 server authenticates the user and checks if there are any new emails in the user's mailbox.
  3. If there are new emails, the POP3 server sends them to the email client, which downloads the emails to the user's local device.
  4. The POP3 server then deletes the emails from the server, unless the user has configured their email client to leave a copy on the server.
  5. The email client can then be used to read, reply to, and manage the downloaded emails.

  1. Open Microsoft Outlook and go to the "File" menu.
  2. Click on "Account Settings" and then "Account Settings" again.
  3. Click on "New" to create a new email account.
  4. Select "Manual setup or additional server types" and click "Next".
  5. Select "POP3" and click "Next".
  6. Enter the POP3 server settings:
    • Server: mail.yourdomain.com
    • Port: 110
    • Username: your email address
    • Password: your email password
    • Authentication: usually POP3 uses plain text authentication, but some servers may use SSL/TLS encryption
  7. Click "Next" and then "Finish" to complete the setup.

Note: POP3 is an older protocol and has some limitations. For example, it doesn't support encryption by default, and it can be slower than other protocols like IMAP. Additionally, POP3 is not recommended for use with modern email clients, as it can cause issues with email synchronization and security.
