Outlook incoming and outgoing mail server
In Outlook, the incoming and outgoing mail servers are used to send and receive emails. Here's how to set them up:
Incoming Mail Server (IMAP or POP3)
- IMAP (Internet Message Access Protocol): This protocol allows you to access your emails from multiple devices and synchronize your emails across all devices.
- POP3 (Post Office Protocol version 3): This protocol downloads emails from the server to your device and deletes them from the server. This means you can only access your emails on one device at a time.
To set up the incoming mail server in Outlook:
- Open Outlook and go to File > Account Settings > Account Settings again.
- Click on Add a new email account and select Manual setup or additional server types.
- Select Internet Email and click Next.
- Enter your Incoming mail server (IMAP or POP3) and Username.
- Click More Settings and enter the Incoming mail server port (usually 143 for IMAP or 110 for POP3).
- Click OK and then Next.
- Enter your Outgoing mail server (SMTP) and Username.
- Click More Settings and enter the Outgoing mail server port (usually 587 or 25).
- Click OK and then Finish.
Outgoing Mail Server (SMTP)
- The outgoing mail server is used to send emails from your Outlook account.
To set up the outgoing mail server in Outlook:
- Open Outlook and go to File > Account Settings > Account Settings again.
- Click on Add a new email account and select Manual setup or additional server types.
- Select Internet Email and click Next.
- Enter your Outgoing mail server (SMTP) and Username.
- Click More Settings and enter the Outgoing mail server port (usually 587 or 25).
- Click OK and then Next.
- Click Finish.
Common Mail Server Settings
- Incoming Mail Server: imap.gmail.com (IMAP) or pop.gmail.com (POP3) for Gmail, outlook.office365.com for Office 365, or mail.example.com for your own domain.
- Outgoing Mail Server: smtp.gmail.com (Gmail), smtp.office365.com (Office 365), or mail.example.com (your own domain).
- Username: your full email address (e.g., [yourname]@gmail.com).
- Password: your email account password.
