The joys of recalling an email in Office 365!

Recalling an email in Office 365 is a bit more complex than in previous versions of Outlook, but it's still possible. Here's a step-by-step guide to help you recall an email:

Prerequisites:

  1. The email must be in the "Sent Items" folder.
  2. The recipient's email client must support recall (most modern email clients do).
  3. The recall must be initiated within a certain time frame (usually 30 minutes).

Steps to recall an email in Office 365:

  1. Open Outlook: Log in to your Office 365 account and open Outlook.
  2. Find the email: Go to the "Sent Items" folder and find the email you want to recall.
  3. Right-click on the email: Right-click on the email and select "Recall This Message" from the context menu.
  4. Choose the recall option: In the "Recall This Message" window, you'll see two options:
    • Delete unread copies of this message: This option will delete the email from the recipient's inbox, but not from their "Sent Items" folder.
    • Delete unread copies and replace with a new message: This option will delete the email and replace it with a new message (which you can compose in the same window).
  5. Compose a new message (optional): If you choose the second option, you'll need to compose a new message to replace the recalled email. You can add a new subject, body, and attachments as needed.
  6. Send the recall: Click "OK" to send the recall request.

What happens after you recall an email:

  1. The email will be deleted from the recipient's inbox.
  2. If the recipient has already read the email, it will remain in their "Sent Items" folder.
  3. If the recipient has not read the email, it will be deleted from their inbox and "Sent Items" folder.
  4. The recall will be sent to the recipient as a new email, which they can choose to ignore or delete.

Important notes:

  1. Recalling an email is not foolproof, and there's no guarantee that the recipient will receive the recall request or delete the email.
  2. If the recipient has already replied to the email, the recall will not work.
  3. Recalling an email can be seen as a bit invasive, so use this feature judiciously and only when necessary.
